Roles and Responsibilities of the Board of Directors

President

  1. Presideat general PTO meetings and executive board meetings
  2. Prepare for and lead executive board meetings
  3. Prepare for and lead PTO meetings
  4. Review the treasurer’s report
  5. Serve as the primary contact to the principal and represent the PTO at meetings of other groups, if needed
    1. Have regular check-in meetings with the principal
    2. Set the schedule of monthly executive board meetings for the year
  6. Serve as an ex-officio member of all committees
  7. Retain all official records of the PTO
  8. Update the signature cards at your PTO’s bank
  9. Double-check key organizational dates, including your PTO insurancepolicy renewal, incorporation with the state, and IRS Form 990 or 990-EZ,if applicable.
  10. Determine which officer and committee chair positions might need to befilled next year, and reach out for volunteers
  1. Work with administrators on Enrichment Assembly(s) and Field Trip Planning
  2. Work with administration to establish/facilitate community service projects as appropriate.

Vice President 1 

  1. Attending executive board meetings and participate in discussions anddecision making.
  2. Overseeing fundraising selection, planning, and evaluation. Fundraisingevents include but not limited to,
    1. Read-a-Thon
    2. Jog-a-thon
    3. Benefit/Auction
    4. Dining for Dollars
    5. Spirit wear
    6. 3rd party donations (Box Tops, Fred Meyer, Etc)
  3. Serving as PTO parliamentarian
  4. ServingasaBylawsexpert
  5. Serving as a second to the President when necessary

Vice President 2

  1. Attending executive board meetings and participate indiscussions and decision making.
  2. Acting as liaison for new families.
  3. Leading the annual membership drive and help with the recruitment ofattendees to PSO general meetings and volunteers for Board positions.
  4. Developing positive recruiting techniques and clearly communicate roles and responsibilities to all potential subcommittee, event Chairs and volunteers.
  5. Overseeing committees,train committee chairpeople,and act as a liaison between committee chair people and the executive board.
  6. Holding a committee chair orientation
  7. ManagingCommittees
    1. Review current committees and determined what ones are needed and which ones are no longer needed.
    2. Work with the President to create any new committee as needed
    3. Work with the President and Volunteer Coordinator to fill vacantcommittee chair positions.
    4. Remind committee chairs of PSO meeting 5 days in advance.

 Secretary

  1. Prepare agendas for general meetings.
  2. Attending executive board meetings and participate in discussions and decision making.
  3. Recording and distribute minutes of executive board meetings and general meetings.
  4. Maintaining a complete file of all approved minutes, agendas,and materials distributed at any official PTO meeting

Bookkeeping Treasurer

  1. Attending executive board meetings and participate in discussions and decision making.
  2. All moneys of the Corporation and keep an accurate record of receiptsand disbursements.
  3. Pay out funds of the Corporation only as authorized by the Board of Directors or a vote of the general membership.
  4. Submitting an account of the financial affairs of the Corporation at eachgeneral membership meeting.
  5. Providing the Board of Directors with whatever information is necessary to carry out the annual budgeting process.
  6. Providing information about the previous year’s event expenditures to each chairperson as a guideline for his or her working budgets.
  7. Bringing the monthly bank reconciliation to the monthly board meeting to be reviewed by the PSO President or Vice President.
  8. Ensuring the annual taxes are completed and submitted before November 15th.
  9. Review, enter and pay bills including reimbursements from staff and parents.
  10. Review and book deposits received from the Auditing Treasurer.
  11. Cut checks at minimum once a week.
  12. Reconcile bank accounts and misc. expense accounts monthly.

Auding Treasurer

  1. Attending executive board meetings and participate in discussions and decision making
  2. Documenting and cashing any checks or cash received by the Board.
  3. Monthly audits of all the accounts of the Corporation using the information provided by the Bookkeeping Treasurer.
  4. Making deposits in the account and reporting on all deposits.
  5. Filling in fo rthe Bookkeeping Treasurer at PSO Board and General Meetings when called upon.

Volunteer Coordinator(s)

  1. Attending executive board meetings and participate in discussions and decision making
  2. Supportingallmembersingettingtheirrequirementssatisfiedfor volunteering. This includes, but is not limited to,
    1. all new volunteers of new students to the school,
    2. volunteers of larger committees and
    3. any volunteer with special circumstances that may need extra support.
  3.   Host Volunteer training sessions at the beginning of each school year.
  4. Workingwiththecommitteechairstohelpstafftheevents.
  5. Share lists of volunteers by activity or event to committee chairs prior to event.
  6. Keep a set of volunteer guidelines in the school office and on your website to send to new families who join the school throughout the year.
  7. Make sure volunteer opportunities are visible on websites, social media channels, and bulletin boards.
  8. Attend Back to School Night to recruit new volunteers
  9. Tracking volunteer’s hours and providing accolades when necessary.
  10. Send thank you emails to volunteers after each event.
  11. Organize volunteer appreciation event.
  12. Keep a list of volunteers from year to year to allow for easy follow-up.

Communications Coordinator

  1. Attending executive board meetings and participate in discussions and decision making
  2. Determine, with executive board approval, the most appropriate methods and frequency of communicating with members.
  3. Manage communications and marketing for the PTO, including but not limited to:
    1. PTO newsletters
    2. Email broadcasts
    3. Website
    4. Social media
    5. Bulletin boards
    6. Reader-board
